The Receptionist is responsible for managing visitors and telephone inquiries at the Foundation s New York office providing a positive experience. In addition, the Receptionist will support the Operations team, and other departments as assigned, with their administrative needs.

In order to properly respond to inquiries from a wide range of internal and external parties, the Receptionist must be well-versed in the Foundation s programs, office services and operations, as well as internal policies and procedures.

In many cases, the Receptionist will be the first point of contact for guests, providing a professional demeanor and strong customer service will have a direct impact on the image of the Foundation.

Temporary position for September 16, 2019 to December 20, 2019.

  • Professionally respond to all incoming telephone calls and directs calls to the appropriate party when needed according to the Foundation s policies and procedures.
  • Greet visitors in a professional, friendly, and hospitable manner. Accommodate any special needs of guests (i.e. guests with wheelchairs, and/or other disabilities) while always providing exceptional customer service. Assist in maintaining a secure office environment by collaborating with the Director of Operations & Security to ensure that no inappropriate visitors enter the office.
  • Assist in maintaining the appearance of the New York Office by maintaining common areas such as the reception area, conference rooms, the Hub, and office supply rooms.
  • Provide administrative support to the Operations team and other departments with approval of Director, Technical Support & Operations.
  • Provides facilities support including routine maintenance requests such as adjusting the HVAC system, procurement of office supplies.

1. Education:

  • Minimum Required: Associates degree or equivalent
  • Preferred: Bachelor s Degree

2. Work Experience:

  • Minimum Required: 1-3 years of prior work experience as a receptionist, or other customer service related position.

3. Skills:

  • Exceptional customer service and interpersonal skills
  • Ability to multi-task and to work independently
  • Exceptional written and verbal communication skills.
  • Ability to hanlde challenging situations with diplomacy and tact.

4. Special Skills:

  • Excellent phone etiquette
  • Strong Microsoft Office skills
  • Good detail-orientation and follow-up ability

Office Environment: Constant computer work requiring repetitive motion, prolonged sitting and sustained visual/mental demands. Occasional lifting, bending, pulling, collating, and filing, some of which may be heavy (>15 lbs.) and require use of carts.
